Car Rental – Damage Management Policy

At Travopool.com, we know that most renters drive carefully and responsibly. Accidents are rare—but if damage does occur to your rental vehicle, it’s important to understand how the situation will be handled.

This Damage Management Policy explains how damage-related charges may apply. Please also review our full Terms & Conditions for complete and binding details.

Liability for Vehicle Damage

Your responsibility for any damage depends on the protection coverage you selected at the time of booking.

  • In some cases, you may have no liability at all.
  • In other cases, you may be partially responsible.

Types of Damage

Damage charges vary based on the nature and extent of the issue:

Light Damage

Minor scratches, small dents, paint chips, or loss/damage of keys, accessories, or documents.

Tyre Replacement

Damage requiring a tyre to be replaced with a new one.

Serious Damage

Any damage beyond light damage or tyre replacement but not classified as a total loss.

Total Loss

When the vehicle is damaged beyond economical repair or is declared a write-off.

Damage Identified at Vehicle Return

When you return the vehicle, our staff will inspect it with you present.

Light Damage

  • If minor damage is found and you acknowledge it by signing the return report, an invoice will be issued.
  • Charges will include the applicable Light Damage Administration Fee as outlined in our Tariff Guide.

Serious Damage or Total Loss

If serious damage is found or suspected, we will provide:

  • A detailed vehicle return report
  • Photographs of the damage
  • An invoice including:
    1. Relevant Administration Charges (Serious Damage, Tyre, or Windscreen)
    2. Engineer’s Assessment Fee (except for tyre/windscreen cases)
    3. Loss of Use charges for the period the vehicle is unavailable

Damage Identified After Rental Completion

If damage is discovered during a post-rental inspection (after the vehicle has been returned and you have left):

We will provide:

  • A detailed return statement
  • Photographic evidence
  • An invoice including Administration Charges, Engineer’s Fees (if applicable), and Loss of Use charges.

Claims and Disputes

If you disagree with a damage charge or wish to raise a query:

  • You must contact us within 14 days of receiving the damage documentation.
  • If we do not hear from you within this timeframe, Travopool may proceed with invoicing the charges.
